About Deleting Patient Records
A new addition to AquilaCRS v1.2 is the ability to delete patient Folders, Ibid Records & Dependency records.
To delete any patient record or folder the user must have the correct user permissions granted by the system administrator, for further information on user permissions please follow link to Managing Users
A folder or record can only be deleted if there are no associated records attached i.e, a patent's Ibid Record can't be deleted if there are any linked Dependency Records. A patient folder can't be deleted if there are ibid records within that folder.
Please note this is a permanent delete, once a record has been deleted the information it contains cannot be recovered.
Deleting a Daily Dependency Record
Before deleting any Ibid Record or folder the user must make sure there are no linked Daily Dependency records.
To make sure all dependency records are displayed please click on the funnel icon on the Dependency Record Toolbar.
- Open the Daily Dependency record due to be deleted.
- On the Daily Dependency toolbar click the "Tools" option.
- Choose Delete Dependency.
A confirmation box will appear complete with the username logged on at the time of dependency deletion. This is for audit purposes and although the information is not recoverable the person deleting can be traced. For security purposes it is advisable not to leave your system logged on and unattended at any time.
- Tick "Confirm understanding that delete cannot be undone" tickbox.
- Enter the reason the dependency record is being deleted.
- Click the Delete button to proceed with delete or Cancel to return to Dependency record .
The dependency record will be deleted and the user will be returned to the patient folder.
Delete Ibid Record
- Open Patient folder and open the Ibid record due to be deleted.
- Go to the Ibid Record Tools option on the toolbar.
There are two options Move or Delete IBID Record For further details regarding moving an ibid record, please follow link to Moving Patient Records
- Click Delete Ibid Record
A confirmation box will appear with user name of person logged on at the time of Ibid Record deletion, this is for audit purposes and although the information is not recoverable the person deleting can be traced. For security purposes it is advisable not to leave your system logged on and unattended at any time.
- Tick "Confirm understanding that delete cannot be undone" tickbox.
- Enter the reason the Ibid record is being deleted.
- Click the Delete button to proceed with delete or Cancel to return to Ibid Record.
The Ibid record will be deleted and the user will be returned to the patient folder.
The Patient's Ibid record will not be removed from any lists until the page has been refreshed.
If there are linked dependency records still linked to this patient record an Error box will appear.
Delete the Daily Dependency records as shown above before proceeding with deleting the Ibid Record.
Deleting a Patient Folder
Once the Patient Ibid record and Dependency Records are deleted, the patient folder can be deleted.
- Open the selected patient folder.
- Click on the Tools option on the Folder Toolbar
- Click Delete Folder.
A confirmation box will appear complete with the username logged on at the time of folder deletion. This is for audit purposes and although the information is not recoverable the person deleting can be traced. For security purposes it is advisable not to leave your system logged on and unattended at any time.
- Tick "Confirm understanding that delete cannot be undone" tickbox.
- Enter the reason the Folder is being deleted.
- Click the delete button to Proceed with deleting the Folder or Cancel to return to patient folder.
The Patient folder will not be removed from any lists until the page has been refreshed.
Deleting Patient Demographics
Once the Patient demographics has no attached Folders, the Patient record can be deleted.
- Select the Tools menu on the Patient Demographics toolbar.
- Select Delete Patient.
A confirmation box will appear username logged on at the time of Patient deletion. This is for audit purposes and although the information is not recoverable the person deleting can be traced. For security purposes it is advisable not to leave your system logged on and unattended at any time.
- Tick "Confirm understanding that delete cannot be undone" tickbox.
- Enter the reason the Patient is being deleted.
- Click the delete button to Proceed with deleting the Patient or Cancel to return to Patient Demographics.
The Patient will not be removed from any lists until the page has been refreshed.
